This guide walks through the minimum path from signup to a usable Kanban board. KaryaBoard is AI Kanban for coding agents and software teams: projects hold boards, columns hold tasks, and paid plans add Stories, AI assistance, and GitHub. Claude can join later through MCP once you have at least one board to enable.
1. Create an account
- Open https://app.karyaboard.com/signup.
- Complete signup with the authentication options presented (email/password or Google).
- Land in the app at app.karyaboard.com.
Free starts at $0 with up to 3 members and 3 projects. You do not need a credit card to explore core boards. See pricing before inviting a larger group.
2. Create your first project (board)
Create a project and name it after the workstream (product name, client, or squad). Default columns are a fine start — rename them to match how you already talk about status. Add a few real tasks rather than placeholders so the board reflects actual work on day one.
Conventions that help small teams: keep “Waiting on someone else” visible as its own column; put acceptance notes in the task description; use comments for decisions instead of side chats that never return to the board.
3. Invite members within plan limits
Invite teammates up to your plan's member limit (Free 3, Pro 25, Scale 50 + extras). Assign owners carefully on client or production boards. If you are an agency running multiple clients, prefer one project per client — see for agencies.
4. Optional: Stories, GitHub, and Claude MCP
On Pro or Scale, enable Stories/AI when you want generated task structure with human approval before apply. Connect GitHub when commits should attach to tasks — follow GitHub docs. To let Claude operate boards, open Settings → Claude MCP, pair with https://mcp.karyaboard.com/mcp, and enable only the boards the agent should see. Procedural detail: MCP docs; overview: MCP.
5. Daily loop
- Pull tasks into In progress when work starts.
- Comment blockers on the task, not only in chat.
- Mark complete when the outcome is done — not when the PR is merely opened, unless that is your team's explicit definition.
- If Claude is connected, ask it to
list_projectsorget_boardin a fresh chat with the connector enabled as a health check.
Limits and support
Hitting Free project or member caps is a signal to upgrade, not a bug. Trials on Pro (14 days) and Scale (see live plans API / checkout; documented as 30 days for Scale on the pricing page) let you test paid features. For data copy or deletion requests, email support@karyaboard.com — there is no self-serve data-export product feature claimed on the marketing site.
